Planning an event in Calgary or Airdrie comes with a lot of moving parts, and one question we hear more than almost any other is: “When should I actually book my rentals?”
The honest answer depends on what kind of event you’re hosting and what time of year it falls in. Here’s a breakdown so you can plan with confidence instead of guessing.
Weddings: 4 to 8 Weeks Out
Outdoor weddings in Calgary are one of the most popular reasons couples reach out to us, and they also require the most planning. A 20×20 Marquee Tent, white resin chairs, rectangular tables, linens, and a dance floor all need to be reserved, and popular wedding dates (especially weekends from June through September) book up fast.
Our recommendation: lock in your rentals 4 to 8 weeks before your wedding date. If you’re getting married during peak summer season, err toward the earlier end of that window.
Grad Parties: Book in April
May and June are grad season across Calgary and Airdrie, and backyard grad parties have become a tradition of their own. Tents, folding chairs, tables, and the ever-popular cotton candy machine tend to go quickly once school lets out.
Our recommendation: if your grad is walking the stage in May or June, get your booking in during April.
Stampede Events: Book by May
Calgary Stampede season is, without question, our busiest stretch of the year. Whether you’re hosting a Stampede breakfast, a community block party, or a vendor booth, fire-rated canopy tents and griddles are in especially high demand.
Our recommendation: book your Stampede rentals by May to guarantee availability in July.
General Events: 2 to 3 Weeks Is Usually Enough
Not every event needs months of lead time. For smaller gatherings, community events, or corporate functions outside of peak season, 2 to 3 weeks’ notice is typically all you need.
The One Rule That Applies Year-Round
No matter what you’re planning, peak season, June through September, fills up fast across the board. If your event falls in that window, booking sooner rather than later is always the safer bet.
